REQUEST FOR QUALIFICATIONS (RFQ)

The City of Springdale, AR has received grant funding for a Welcoming Community Project and is seeking proposals for services pertaining to the project. Qualifications will be taken for a Welcoming Project Coordinator.

Minimum requirements include previous experience in Project Coordination.

Qualifications must be received at the Office of the Mayor, Attn: Melissa Reeves, 201 Spring Street, Springdale, AR  72764 no later than 5:00 pm October 15, 2018. The city of Springdale reserves the right to reject any and all Qualifications not meeting the requirements of this Request for Qualifications for Professional Administrative Services.

PROJECT COORDINATOR SERVICES WILL INCLUDE:

  1. Coordinating the translation of documents and communications into Spanish
  2. Coordinating the translation of City documents and communications into Marshallese
  3. Event planning, design and production while managing all project delivery elements within time limits
  4. Conduct market research, gather information and negotiate contracts
  5. Provide feedback and periodic reports to Welcoming Committee
  6. Propose ideas to improve provided services and event quality
  7. Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
  8. Ensure compliance with insurance, legal, health and safety obligations
  9. Conduct pre-and post – event evaluations and report on outcomes
  10. Coordinate production of videos to promote City services and educate the public on City matters
  11. Coordinate programs that serve a diverse group of residents
  12. Coordinate language translation and child care services for public events and meetings
  13. Create video, photographic, design, and written content for the website and social media
  14. Help promote public events and meetings related to the Welcoming Community initiative
  15. Maintain budget and track expenditures/transactions

PREFERRED SKILLS WILL INCLUDE:

  1. Proficiency in Adobe Suite and Microsoft Office Suite
  2. Bilingual preferred
  3. Experience producing video content on deadline
  4. Experience in event planning
  5. Experience running a program or in education
  6. Experience managing a budget
  7. Must submit references as to professional qualifications from a minimum of three (3) previous clients for which similar work has been performed (include address and telephone number).



The contracted person or agency must provide evidence of skills and experiences facilitating diverse community forums/programs and

examples/samples of communication skills (written, presentations, video).

The City of Springdale reserves the right to negotiate a contract with the proposal deemed the most qualified to perform the professional services required.

Any proposal not meeting the qualifications set forth in this Request for Qualifications will be rejected.

Qualifications:
General Description of Expectations

The person/agency will help to facilitate the implementation of our Welcoming Plan, and complete the expectations paid for by the Tyson Foods CommonGround Grant. Additional expectations are, plan bi-annual conferences, plan, promote, and facilitate the Springdale Civic Academy, work with community partners, create multilingual videos and media content, and help translate City documents into multiple languages. After hours and weekend work may be needed.
